REQUIREMENTS : 

It is vital for the candidate to hold a three (3) year qualification (ideally in Office Administration/Secretarial) in combination with six (6) to twelve (12) months of work experience in the subject of office administration/secretarial. Memorization and minute-taking experience.

Skills in MS Office, including phrase processing, Outlook, PowerPoint, and Excel (Can be tested if needed.) Knowledge of Public Service and departmental protocols and regulations. Keep up-to-date on methods and methods used at the Director’s workplace. Typing abilities at all levels. Ability to write and speak verbally at all levels. Use your smartphone with good etiquette.

DUTIES : 

  • Providing secretarial assistance to the Director is the purpose of the position. In addition to providing clerical assistance to the Director, the successful candidate will also be responsible for the following:
  •  Organizes tours by contacting tour organizations. Upon receiving applicable archives, checks the arrangements;
  • Provides the Director with conference and event arrangements. Prepares schedules, identifies venues, invites participants, organizes refreshments, and invites position players;
  • Ensures that the unit’s travel and subsistence claims are processed;
  • The Director processes all invoices related to his or her work;
  • Ensures that primary minutes are taken at meetings of the Director at the appropriate location;
  • Ensures correspondence and reports regarding movements are drafted;
  •  The Director and the unit are to be informed of any files that need to be submitted;
  • Forms, goaway registers, and telephone accounts are some of the things he oversees;
  • Be responsible for procuring popular items such as stationery and refreshments;
  • Assists the Director in preparing for meetings by gathering all appropriate archives;
  • Assists the director with secretarial and reception duties:

Prescribes/policies and other documents related to the Public Service and the department to ensure that their utility is understood properly; Remains abreast of approaches and techniques that are being used in the Director’s workplace.
